Executive Assistant

Exciting opportunity for an Executive Assistant to join a highly successful real estate team that is ranked in the top 1% in sales of all teams internationally! This opportunity offers excellent pay and great company culture.

The Executive Assistant will work alongside the transaction coordinator and sales partner to ensure client satisfaction while buying or selling a home. The ideal candidate will have experience supporting a residential agent or team and excellent attention to detail.


Roles and Responsibilities
  • Act as the main point of communication & go-between with the client, sales partner, vendors, and anyone else involved in the transaction
  • Work directly with vendors to coordinate home preparation for listings, coordinate inspections, repairs, and any other work as needed
  • Ensure clients’ homes & properties are presented online in accordance with company standards
  • Manage all backend aspects of multiple real estate transactions from start to finish
  • Keep sales partner on track, organized, and focused on their highest priorities
  • Learn, master, and stay up to date on all company procedures
  • Coordinate any printed materials including property brochures, postcards, etc.
  • Keep all files up to date and organized in Google Drive and draft paperwork as needed in ZipForms and DocuSign
  • Maintain proper records in Follow Up Boss, update & maintain mailing lists, and remove unsubscribed emails from BombBomb system
  • Light office management – watering plants and checking the mail
  • Additional duties as assigned by the sales partner



  • 2-3 years’ experience supporting a residential agent or a team (required)
  • CA real estate license highly preferred (or willing to get upon hire)
  • Proficient in Mac and Google Suite
  • Proficient using full gamut of online social websites, and various virtual tools
  • Professional with excellent customer service skills and attitude
  • Strong multi-tasking ability and attention to detail
  • Flexibility for occasional weekend or evenings (Responding to email/calls/texts with acknowledgment as needed)
  • Have access to reliable vehicle to drive daily for work and valid driver’s license
  •   Live within a 30 minute commute to San Clemente, CA
