Office and Project Administrator

Responsibilities:
  • Participate in residential project meetings and record minutes of these meetings and document action items
  • Manage and coordinate residential project-related communication and paperwork by ensuring all necessary materials are current, properly filed and stored
  • Update residential project reports on weekly and monthly basis
  • Direct project correspondences by preparing and reviewing project proposals, memos, meeting minutes and emails
  • Assist in current office projects and coordinate all team members to keep workflow on track
  • Provide administrative support to team members including completion of expense reports, timecards, and calendar management
  • Answer phone calls, schedules meetings and support visitors
  • Make travel arrangements for team members such as booking flights, cars, and hotel
  • Maintain office supplies inventory by checking stock, anticipating needed supplies, placing, and expediting orders for supplies
  • Create, distribute, gather, and prepare Investor reports and Management reports for properties
  • Additional duties as assigned

 

Qualifications:
  • Good communication and interpersonal skills capable of maintaining strong relationships
  • Strong organizational and multi-tasking skills
  • Excellent analytical and problem-solving abilities
  • Documentation management and ability to use project management tools
  • Attention to details even under pressure
  • Time management skills with the ability to meet multiple deadlines
  • Strong computer skills
