Position Purpose

The Marketing/Administrative Assistant will perform clerical and administrative functions in order to drive company productivity. This position provides a direct support to multiple commercial real estate brokers and associates to ensure a smooth operation and that deadlines are met. They will also perform creative work including flyers, brochures, and social media assistance.

 

Responsibilities
  • Preparation of correspondences, proposals, flyers, offering memorandums, and brochures.
  • Research requests, maintenance of client databases, sending email blasts, posting on social media, and preparing market reports.
  • Answering the main phone line and taking calls/messages regarding listings inquiries
  • Admin office tasks such as filing, printing/scanning, stocking supplies once delivered, answering the door for deliveries/guests, helping keep the conference room and common areas tidy
  • Stay diligent at checking email, following up, and keeping on track with requests
  • Willing to help out around the office with other office tasks as needed

 

Qualifications
  • 5+ years’ experience as an assistant in a fast-paced office environment; experience in a real estate office a plus
  • Ability to commute to Santa Monica (ideally lives within a 10-mile radius of SM)
  • Excellent Microsoft Office skills (Word and Excel used daily)
  • Adobe Suite experience a must (flyer work in InDesign)
  • Social media management experience a plus
  • Experience with AIR Contracts & CAR Forms a plus
  • Experience drafting proposals, correspondence, etc. is a must
  • Ability to prioritize and multitask
  • Excellent written and verbal communication skills
  • Strong attention to detail and organizational skills
