Our client, a well-established real estate developer and asset manager, is seeking an executive assistant to join their team. The Executive Assistant provides high-level executive support in a   one-on-one working relationship directly with the CEO.

Roles and Responsibilities
  • High-Level Executive Support: Complete a broad variety of administrative tasks for the CEO and other key executives, including managing projects and tasks, acting as a liaison between the CEO and internal departments, managing an extremely active calendar of appointments, and arranging complex travel plans, while maintaining confidentiality.
  • Non-Profit Board Support and Liaison: Serves as the CEO's administrative liaison for the non-profit entity. Additional support for key executives when needed. Supports Board interface, meetings, and outreach. Supports donor database and facilities development team.
  • Executive Management Liaison: Participates as an adjunct member of the Executive Team, including assisting in scheduling meetings and attending all meetings. Supports internal office operations. Assists in coordinating the agenda of senior management team meetings and off-sites, and all-staff meetings.
  • Communications, and Outreach: Ensures that the CEO's bio is kept updated; handles CEO's social media; and database. Manages, sets, and responds to meeting requests and other scheduling needs and timely calendars, appointments, and correspondence.
  • Strategic Initiatives: Works with the team in coordinating the CEO outreach activities and implementation of company objectives and strategies. Follows up on contacts made by the President and supports the cultivation and building of ongoing relationships.
  • Leasing/Renting of Rental Properties Owned by the CEO: Acts as the host and primary point of contact. Manages the guest experience, booking, collections, and accounting. Manages AIRBNB and VRBO and other website activities and calendars. Actively markets the properties and responds to all inquiries in a timely and professional manner.
  • Personal Initiatives: Handles pharmacy ordering, medical records, and appointments, some of which are confidential. Interface with CEO's family to handle personal needs, including travel, research, hotels; restaurants; finances; and other matters.


Education, Experience, and Qualifications
  • Bachelor's degree required.
  • Strong work tenure: five to 10 years of experience supporting C-Level Executives
  • Expert level written and verbal communication skills; spoken and written Spanish is a plus.
  • Experience in working for a high-level CEO with a heavy calendar and numerous business interests is a must.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
  • Strong organizational skills; be adaptable to various competing demands
  • Very strong interpersonal skills and the ability to build relationships with stakeholders
  • Proven ability to handle confidential information with discretion.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast- paced environment.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.
