Commercial Portfolio Assistant

Summary/Objective

The Commercial Portfolio Assistant is responsible for assisting in the management of a portfolio of commercial real estate including property management & inspections, tenant relations, risk management, leasing, marketing, and growth. The Commercial Portfolio Assistant is familiar with all budgetary items, vendor contracts and relationships, and financial obligations of the real estate assets under management.

 

Duties and Responsibilities
  • Assists in the managing, coordination, and monitoring of day to day activities for the portfolio including: maintenance, leasing, marketing, and all other property operations.
  • Assures that the company’s efforts fully meet and exceed its property management obligations.
  • Processes leasing applications and makes credit recommendations, signings
  • Performs monthly property inspections for all assigned properties, including timely submittal of property inspection reports and timely execution of noted cleanup, repair and servicing for needed maintenance items.
  • Responsible for drafting contracts and agreements including but not limited to Leases, Amendments, SVCs, PSAs, Side Agreements, and Special Agreements.
  • Responsible to process all signage requests, TIAs, TIRs, move-ins, move outs, and lease abstracts.
  • Act as liaison between Lessees and staff, consistently enforcing contract terms and guidelines as applicable with Lessees and Vendors. Prepares and serves notices to evidence these enforcement actions.
  • Makes vendor recommendations, bid comparisons, and generating Requests for Proposal (RFPs).
  • Assists with operating/capital budget generation and review. Track and ensure compliance to property budgets. Manage and control costs of budgeted/over-budget items.
  • Assists with CAM estimates and CAM reconciliations, in cooperation with 3rd party reconciliation and DD firms.
  • Supports and assists team in responsibility for the Property Management (PM) email inbox, and/or support of property maintenance services for the portfolio as needed.
  • Assists with and/or responsible for Lessee appreciation events, and other items in support of the CLAP program.
  • Manages tenant improvements, construction projects, capital improvement projects, and other projects as needed with timely results and in compliance with applicable quality completion standards.
  • Responsible to assist in coordination, organization, and due diligence for purchase, sale, and refinance transactions.
  • Supports Portfolio Manager in producing, updating, and improving the monthly vacancy rates & report.
  • Interacts regularly with Portfolio Manager to ensure all objectives are being met.
  • Responsible for after-hours emergencies, and the custodianship of the after-hours emergency phone, as assigned.

 

Education/Experience
  • 3+ years of commercial property management experience.
  • Bachelor’s degree or equivalent educational certification or experience
  • Professional knowledge, experience, and competency with advanced real estate contract principals and terminology

 

Qualifications/Skills
  • Ability to read, analyze and interpret complex documents. 
  • Ability to respond effectively to the most sensitive inquiries or complaints. 
  • Ability to write speeches and articles using original or innovative techniques or style.
  • Ability to make effective and persuasive speeches and presentations on controversial or complex topics to management, lessees, vendors or public boards.
  • Ability to self-educate and solve problems and deal with a variety of concrete variables in situations where only limited or no standardization or precedent exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Excellent oral, written, analytical and organizational skills.
  • Team player with a professional attitude and excellent interpersonal skills who is self- directed, detail-oriented and has strong time management skills.
