This company is a leading real estate and investment management firm with an approximately $43 billion in assets under management. Operating in 18 offices with 500 employees worldwide, our client also owns and manages more than 40 million square feet of real estate in the light industrial space - prominent in 20 major domestic markets and rapidly growing! To support this growth, they are seeking an Administrative Assistant to join their brand new Phoenix office.

Job Summary:
 

The Property Administrative Assistant will report to the Senior Property Manager and provide hands-on administrative and operational support for 3.2 mill. sq. ft. of light industrial space in the Phoenix area. Relevant property management experience from an administrative capacity is required.

 

Job Duties:

  • Support 2 Property Managers on administrative and operational functions
  • Timely and accurate coding of payables (AP) as the point-of-contact for AP
  • Manage receivables (AR), including but not limited to: communicating with customers regarding past due accounts, assembling weekly reports via Excel to present to Senior Management 
  • Oversee all incoming calls and greet guests

Requirements:

  • Bachelor’s degree is strongly preferred
  • 1-2 years relevant property management experience from an administrative capacity is required
  • Industrial/Commercial Real estate experience is heavily preferred
  • Proficiency with Yardi
  • Experience coding payables (AP) and managing receivables (AR)
  • Possesses professional office etiquette/demeanor for visitors and phone communications
  • Strong with MS Office Suite, mainly Word and Excel
  • Superior customer service skills - outstanding written and verbal communication skills a must
  • Capable of managing numerous tasks while meeting tight deadlines
  • Excellent attention to detail
